OneNote vs Goodnotes: Which App Is Better for Digital Planning?
OneNote vs Goodnotes comes down to how you want your planner to behave. Goodnotes treats a planner as a PDF you write on with a stylus, so it feels closest to a paper planner. OneNote treats it as a notebook of editable pages you can type on, draw on and add to, and it is free on every major platform.
Below is a side-by-side table, then a closer look at the parts that matter for planning (handwriting, links, templates, devices and cost), a quick “who should pick which” guide and a one-week test you can run yourself. Goodnotes used to be written “GoodNotes”; it is the same app.

How Each App Treats a Digital Planner
The biggest difference is what a “planner” is inside each app.
In Goodnotes, a planner is usually a PDF. The weekly spread you bought is the weekly spread you get, and you write on top of it. That fixed layout is exactly why it feels like paper. A packed week means writing smaller, adding a page or using a notes page at the back.
In OneNote, a planner is a notebook made of sections (the tabs) and pages. Each page is an open canvas that grows as you type or write, so a busy Monday simply gets longer. You can add a subpage under a week, paste a screenshot of a flight confirmation or record a voice memo on the page. The trade-off is a looser, less printed feel, and typing into a designed area can push the layout around.
Handwriting With a Stylus
Goodnotes is built around pen input: pens, highlighters, shapes and a lasso tool, with handwriting indexed so you can search it later. If you mostly write rather than type, it feels natural from day one.
OneNote handles handwriting through the Draw tab, with pens, highlighters and a lasso. You can mix ink and typed text on the same page, which is handy when you type a meeting agenda and scribble notes beside it. On Windows, Draw > Lasso Select followed by Ink to Text converts handwriting into typed text. Microsoft’s help says OneNote for Mac and OneNote for the web cannot convert handwriting this way. Links and Navigation
Linked planners live or die by their tabs and buttons. Goodnotes follows the hyperlinks built into a PDF planner. If tapping a link draws a stroke instead, switch to Read-Only mode, or long-press the link in edit mode and choose Open Link. You can also add your own links from typed text to a page in any notebook, though not to a specific spot on a page.
OneNote lets you link to a section, a page or even a single paragraph. On Windows, right-click a page tab and choose Copy Link to Page, then paste it wherever you want the link. Because the links are ordinary OneNote links, you can add new ones or fix old ones at any time. Our guide on how to link pages in OneNote shows how to build a full index page.
Templates and Decoration
Goodnotes has a library of paper templates, and you can add any PDF page or image as a custom template (from a multi-page PDF, only the first page is added). Its marketplace and many independent sellers offer PDF planners.
OneNote’s Windows app has Insert > Page Templates, and you can save your own page as a template from View > Paper Size. Microsoft’s help says you cannot create templates in OneNote for the web. Ready-made OneNote planners come as notebook files that you import on a computer. Both apps accept digital stickers as images; our guide on how to add stickers to OneNote covers the OneNote side.
Devices, Sync and Cost
OneNote is free with a Microsoft account on Windows, Mac, iPad, iPhone, Android and the web. A notebook saved to OneDrive syncs to all of them, and it counts toward your OneDrive storage.
Goodnotes started on Apple devices and now also runs on Windows, Android and the web. iCloud keeps your library in step across Apple devices. To see the same library on a non-Apple device, you need Goodnotes Cloud, which Goodnotes includes only on some paid plans. The free version limits how many files you can keep.
OneNote or Goodnotes for Planning: Who Should Pick Which
Match the app to your devices and habits rather than to a feature list.
| Your situation | Better fit | Why |
|---|---|---|
| iPad only, mostly handwriting, love a printed look | Goodnotes | Fixed PDF pages and pen-first tools |
| Windows laptop at work plus an iPad at home | OneNote | Free on both, one notebook syncs through OneDrive |
| Android phone and Windows PC, no budget for apps | OneNote | Free on every platform |
| Student marking up lecture PDFs and planning in one app | Goodnotes | PDF markup and handwriting search together |
| Typed meeting notes on weekdays, handwritten lists on weekends | OneNote | Type and ink on the same page |
| Already on a Goodnotes paid plan that includes Goodnotes Cloud | Goodnotes | Cross-platform library sync is covered |
A few rules of thumb:
- Choose Goodnotes if you want the page to stay exactly as designed and you write far more than you type.
- Choose OneNote if you want free apps on every device, need Windows, or expect to add pages as life gets busy.
- Either works if you only plan on an iPad and are happy to handwrite.
If you are still deciding whether to plan digitally at all, our comparison of a digital planner vs a paper planner covers that choice first.
Test Both Apps in One Week
Reviews only go so far. Both apps have free options, so a short trial settles it.
- Build the same three pages in each app: this month, this week and today, with a link from the month to the week and from the week to today.
- Use Goodnotes for three days, then OneNote for three days. Plan on the devices you really use, not the ones you wish you used.
- Do your four most common jobs each day: add an appointment, move an unfinished task to tomorrow, jot notes during a call and find something from earlier in the week.
- Note which device you reached for away from your desk. If it was a Windows laptop or an Android phone, that matters.
- On day seven, search each app for a word you handwrote early in the week and see what comes back.
- Pick the app where moving tasks and finding notes felt fastest, not the one with the nicest demo.
If OneNote wins, our OneNote digital planner gives you linked yearly, monthly, weekly and daily pages with an index and a side menu. You import it once on a computer, then it syncs to your iPad or phone.
One last tip: whichever app you choose, set it as the only place new plans go for the next month. Splitting plans between two apps is the fastest way to miss something.
Frequently asked questions
Is OneNote or Goodnotes better for planning?
Goodnotes suits people who want a fixed, paper-like PDF planner they handwrite in. OneNote suits people who mix typing and handwriting, want to add pages freely and plan on Windows as well as Apple devices.
Is there a free Goodnotes alternative?
OneNote is the closest free option. It runs on Windows, Mac, iPad, iPhone, Android and the web with a free Microsoft account, supports stylus handwriting, and syncs notebooks through your OneDrive storage.
What is the best digital planner app?
There is no single best app. Choose the one that runs on every device you plan on, suits how you write (pen or keyboard) and follows the links in your planner. For most people that shortlist is Goodnotes and OneNote.
Can I use Goodnotes on Windows?
Yes. Goodnotes now has Windows and Android apps and a web version alongside its iPad, iPhone and Mac apps. Keeping one library in sync between Apple and non-Apple devices needs Goodnotes Cloud, which is only on some paid plans, so check the current plans first.
